Privacy Policy

What we collect, why we collect it, where it lives, and what you can do about it.

Introduction

RoadScout ("we", "us", "our") is committed to protecting your privacy. This policy explains how we collect, use, disclose and safeguard your information when you use our road-intelligence platform, mobile application and website (collectively, the "Service").

We comply with the Protection of Personal Information Act 4 of 2013 (POPIA) and the General Data Protection Regulation (GDPR) where applicable.

What we collect

Account information

When you register, we collect your name, email address, phone number and organisation name.

Road survey data

When you use the mobile app to record trips, we collect:

  • GPS location data (latitude, longitude, altitude, speed, heading).
  • Photographs of road surfaces captured by your device camera.
  • IMU sensor data (accelerometer, gyroscope readings).
  • Device information (model, OS version, app version).

IMAGE ANONYMISATION

All road survey images are automatically processed to blur faces and license plates before storage and analysis. Anonymisation is performed by an on-device / edge model and cannot be reversed.

How we use it

  • To provide and maintain the Service, including AI-based road-defect detection.
  • To process and analyse road survey data.
  • To generate reports, maps and road-quality scores.
  • To improve our AI models using anonymised, aggregated data.
  • To communicate with you about your account and service updates.
  • To process payments and manage subscriptions.

Storage & security

Your data is stored on Amazon Web Services (AWS) infrastructure. The AWS region is selected per customer based on the customer's location and any applicable data-residency requirements.

We apply industry-standard security controls, including encryption at rest and in transit, role-based access, signed upload URLs, and regular security review of the platform.

Sharing

We do not sell your personal information. We share data with:

  • Service providers who help operate the platform (AWS, payment processors).
  • Members of your organisation, subject to the access levels you configure.
  • Law enforcement or regulators where required by law.

Your rights

Under POPIA and GDPR you have the right to:

  • Access your personal information.
  • Correct inaccurate data.
  • Request deletion of your data.
  • Object to processing of your data.
  • Export your data (data portability).
  • Withdraw consent at any time.

Account removal

To request deletion of your account, send an email to privacy@roadscoutai.com from the email address associated with your account. Your account and associated personal data will be deleted within 7 working days of receipt of your request.

Data retention

We retain your data for as long as your account is active. On account deletion, personal data is removed within 30 days. Anonymised, aggregated data may be retained for research and model improvement.

We use essential cookies for authentication and session management. Analytics cookies load only with your consent. See the cookie-consent banner on first visit.
